Funding Information Management System (FIMS)

We are launching a new secure, online platform called the Funding Information Management System (FIMS) for non-profit organizations.

What is FIMS?

Non-profit organizations will use FIMS to:

  • manage their organization's profiles
  • manage their reporting requirements
  • apply for funding for social programs and services

FIMS can be used to apply for programs including: Family & Community Support ServicesCrime Prevention Investment Plan and the Capacity Building Program.

FIMS is a completely separate system from the FCSS Social Inclusion Indicators (FSII) database. The FSII database focuses on surveys which identify programs that are making a measurable, positive change for all participants.

How will it be released?

FIMS will be released throughout 2017. The first phase and related training will be available by May 1, 2017. Please continue to watch for updates as we release modules in 2017.

Phase 1: Our focus in this phase is on currently funded non-profit organizations.

Who will be affected in Phase 1?

Non-profit organizations who are currently funded by The City through Family & Community Support Services (FCSS) Calgary or the Crime Prevention Investment Plan (CPIP).

Starting May 1, organizations will be required to use FIMS to apply for Emerging Issues funding under the 2017 Prevention Investments Capacity Building Program.

What will I be able to do in this phase?

  • Log onto FIMS using myID business account.
  • Access and update your profile, contact and account information online.
  • Submit and view the status of funding applications.

What types of organizations are eligible for funding?


Only non-profit organizations registered under the Societies” Act or Companies’ Act in Alberta and operating within Calgary’s city limits are eligible to apply. In addition, the organization must be well established with a track record for effective program delivery.

How are organizations involved in developing FIMS?

We've convened a FIMS user group made up of representatives from funded organizations who will use the new system. Their role is to provide feedback on the system and processes and raise awareness of FIMS within their networks.

How will my organization access FIMS?

Your organization will access FIMS through a myID business account. A myID business account is a single sign-on approach used by businesses and organizations to access City services online.

My organization doesn’t have a myID business account. How do we create one?

To create a myID business account, your organization will need to have a business ID number (BID) and a primary email address registered with The City. If you have both, visit myid.calgary.ca.

Once you have registered, an activation code and link will be emailed to the registered business primary email address.

My organization doesn’t have a business ID number. How do we get one?

You can register in any of the following ways:

  • Online at bis.calgary.ca.
  • In person at the Planning Services Centre located on the third floor of the Calgary Municipal Building at 800 Macleod Trail S.E.
  • By calling 403-268-5311 to register over the phone.

When you register, you will also be asked to provide a primary email address. This email address should belong to an authority in the organization that can accept and/or reject business related requests. You will need this primary email address – along with your Business ID number – to create your myID business account.

I’ve confirmed that our organization has a business ID number but we need to register a primary email address with The City. How do we do that?

To register your organization’s primary email address you can either:

Note: It can take up to two days for a primary email address to be updated in the system.

The organization profile was created and now something has changed and I need to update the organization’s name, address, phone and fax numbers or email address. How do I change that in FIMS and myID?

The Business Administrator or Primary and/or Primary Delegate contact may change the organization name, address, phone and fax numbers or email in FIMS in the profile tab. Note that the legal registered name of the organization must be used in FIMS.
When the organization name address, phone numbers or email is changed in FIMS it will not update myID, however this will not limit the users function in FIMS. To change the organization name in myID, you must contact myID at calgary.ca/myid.

Users:

I already have a personal myID account to access City services. Why can’t I use that account to access FIMS?

Your personal myID account can only be used to access personal services, like recreational programs and services, not organizational services like FIMS. You’ll need to create a myID business account by visiting myid.calgary.ca using your business ID number and registered email address. Once you have registered, an activation code and link will be emailed to the registered business primary email address.

I changed my name, the prefix for my name (i.e. Ms to Mrs.) or my email address.  How do I change it in FIMS and myID?

To change profile information in FIMS, you would log in to FIMS, go to myID and update your profile. The change will automatically update in FIMS.

How do I rename my login userid?

Renaming the log in userid is not available at this time.

How do we as an organization, remove a user from myID and FIMS?

A Business Administrator user can log in myID and FIMS and delete any user. If the user is associated with any data in FIMS, the user may not delete.

Business Administrators can also close their own account via Account Settings/Close My Business Administrator account in myID.

How do you link myID to a user in FIMS?

MyID and FIMS are linked via the email address used when setting up users in FIMS and myID at the same time.

If the Business Administrator adds the user as a contract in FIMS and then adds the user in myID, when the user logs into myID or FIMS, they will have the access as assigned by the Business Administrator. Note: the same user email address must be used when adding the user to FIMS and myID at the same time.

How does a user become a Business Administrator?

To become a Business Administrator, the user would log into FIMS and go to myID, and use the Promote link in the side menu. An activation code will then be sent to the registered business primary contact email of the organization. The registered business primary contact should then forward the code to the user if the request is legitimate.

Can an organization have more than one Business Administrator?

Yes, an organization may have multiple Business Administrators. The user would become a Business Administrator in myID which will automatically change the user a Business Administrator in FIMS.

Managing Files:

We have provided documents to The City previously, are the documents in FIMS now?

The documents are not in FIMS and will need to be uploaded by the organization once prompted by The City.

How do I save a file and upload it in FIMS?

The Business Administrator or Primary and/or Primary Delegate contact may upload documents in the profile tab.

What if our organization would like to submit a joint application with another organization?

The application would be submitted by the organization that will be responsible for receiving payment, year end and audit reporting requirements.
