D-Class fields or diamonds – Cancellations or amendments received a minimum of seven (7) business days prior to the rental date will be provided with a refund or credit. Cancellations or amendments received with less than seven (7) business days’ notice are non-refundable.

How do I know if the field is D or E class?
To determine if the field is D or E class, refer to second number (indicated in bold in the example below) on tag numbers, which are found at the site either on the soccer posts or ball diamond back stop. Playfield tag numbers are based on facility type and community:
- If the first number is 1 the field is a D-class facility
- If the first number is a 5 or 6 it is an E-class facility
Example: S1TUS02 is an D-class playfield
- A $4.75 risk management fee is applied to each permit.
- Playfields are subject to a minimum $10.00 + GST fee for one time bookings or if the total cost of the permits is less than $10.00
- No refunds are given for inclement weather/rainouts, with the exception of approved tournaments.
- All Tournament and Day Camp requests are subject to a non-refundable $26.25 admin fee due upfront. The balance is due 30 days prior to the first booking date. Changes may be made up to 7 days prior to booking. All Tournament and Day Camp requests require an application & approval.

Step 4 - Check Booking Timelines
Prior to Public day: Response times for tournament, day camp and renewal. applications will vary and are not guaranteed as this is a high volume period.
After public day: Responses for most playfield applications can take up to a maximum of five business days to process. Tournament or day camp requests can take an additional four weeks to receive approval from the appropriate area office.
- November 2022 – February 2023 - Process all renewal groups permits
- December 1, 2022 - Tournament and Day Camp applications due for 2023
- February 06, 2023 - Renewal permits and invoices emailed this week
- March 1, 2023 - Deadline for amendments to be submitted for renewal permits without fees. All other amendments cannot be submitted until after public day and will be processed with a fee
- Mar 15, 2023 - Renewal Fee Due. Unpaid fee will result in fields being returned to public day pool for bookings
- March 22, 2023 - Public day for any new requests for playfields will be booked on a first come, first served basis beginning at 8:30 a.m. Requests must be submitted by application. Applications submitted prior to this time will be processed March 30th. Over the phone bookings for Playfields will only be accepted once public day applications have been processed.
- April 15, 2023 - Playfields open for the season (weather pending)
- October 15, 2023 - Playfields close for the season
Playfield Renewal Rights
Renewal rights exist when a group has a booking each year for the same time period, on the same day of the week.
Renewal bookings are based on an organization’s historical use at each individual facility for the previous two years. 2020 and 2021 will not be included in renewal reviews, as the COVID-19 pandemic affected the ability of many organizations to offer sport activities.
- To qualify for playfield renewal rights, you must have a booking of: a minimum of 5 dates at one playfield for the same time period, on the same day of the week, for consecutive weeks. (Example: minimum of 5 bookings at one playfield, Wednesday evenings from 7:00 p.m. – 8:00 p.m. for 5 consecutive weeks).
- Renewal bookings are based on your organization’s previous booking of an individual playfield on a session-to-session basis (example: Fall renews to Fall, Winter renews to Winter).
- If you delete dates from your renewal permit resulting in less than 5 bookings, or resulting in your bookings becoming non-consecutive each week, you may lose your renewal rights.
- It takes 2 years to establish a renewal and 2 years to lose a renewal. This allows established renewal groups some flexibility for unforeseen circumstances. If a group falls below the 5 dates booking minimum for 2 years in a row, the renewal is lost.
- Renewal bookings in 2022 prioritize organizations with bookings in 2019 or before, to allow organizations who were unable to renew their spaces due to the pandemic opportunity to continue their relationship with The City.
- Established renewals are groups who have booked a minimum of 2 years in a row. If your booking is considered a renewal, you will automatically receive a renewal permit the following session. You will not have to apply for the space, and you will be given the option to cancel the renewal permit without charge.
- New renewals are groups that have qualified for renewal status for the first time. These groups are offered a renewal if there are no operational or historical booking conflicts.
- Special events, tournaments and track meets do not qualify for automatic renewals.

Step 5 - Submit an application
- Five or less dates can be booked via telephone or by contacting Facility Bookings, or by completing the playfield application form.
- More than five dates – must be submitted on a playfield application form.
- Complete the online playfield tournament application form for tournaments, day camps, or weekday bookings prior to 6 p.m.
