How will my organization access FIMS?

​Your organization will access FIMS through a myID business account. A myID business account is a single sign-on approach used by businesses and organizations to access City services online.

My organization doesn’t have a myID business account. How do we create one?

​To create a myID business account, your organization will need to have a business ID number (BID) and a primary email address registered with The City. If you have both, visit myid.calgary.ca.

Once you have registered, an activation code and link will be emailed to the registered business primary email address.

My organization doesn’t have a business ID number. How do we get one?

​You can register in any of the following ways:

  • Online at bis.calgary.ca.
  • In person at the Planning Services Centre located on the third floor of the Calgary Municipal Building at 800 Macleod Trail S.E.
  • By calling 403-268-5311 to register over the phone.

When you register, you will also be asked to provide a primary email address. This email address should belong to an authority in the organization that can accept and/or reject business related requests. You will need this primary email address – along with your Business ID number – to create your myID business account.

I’ve confirmed that our organization has a business ID number but we need to register a primary email address with The City. How do we do that?

To register your organization’s primary email address you can either:

The organization profile was created and now something has changed and I need to update the organization’s name, address, phone and fax numbers or email address. How do I change that in FIMS and myID?

In FIMS, the Business Administrator or Primary and/or Primary Delegate contact may change the organization name, address, phone and fax numbers or email in FIMS in the organization profile. Note that the legal registered name of the organization must be used in FIMS.

When the organization name address, phone numbers or email is changed in FIMS it will not update myID, however this will not limit the users function in FIMS.

To change the organization name in myID, you must contact myID at: calgary.ca/myid.

Why is correspondence and FIMS notifications going to the wrong people in my organization?

The organization needs to log in FIMS and ensure correct contact(s) and emails are assigned to the organization roles of Primary, Primary Delegate(s), Accounting and Board. The contact assigned to the Primary role will receive FIMS notifications, correspondence and emails.

Our organization changed its legal name, how do we update it in FIMS?

The Business Administrator Primary, or Primary Delegate contact needs to log in FIMS and update the organization profile. The updated certificate of incorporation should also be uploaded in FIMS Documents.


Users

I added other staff to my organization’s contacts in FIMS. How do they get their username and password?

Adding staff to your organization’s profile in FIMS allows them to be listed as a contact; however, each person will need their own myID username and password to access the FIMS system. Please complete the following steps:

  1. The myID/FIMS Business Administrator, go to fims.calgary.ca
  2. Login to your organization’s FIMS Account
  3. Select myID Account on left menu. MyID account opens. Manage Business User
  4. Select Account on top menu.
  5. Select create a Business User and complete the details for each person. The email address used in myID account should be the same as the email used to set up the contact in FIMS.
  6. Select Continue.
  7. Once created, an email will be sent to the new user with their user name, a temporary password and a myID link.
  8. The new user will need to access myID to change their password and manage their profile.
  9. Once they’ve completed their profile in myID, they can access fims.calgary.ca using their new username and password.

Note: In FIMS, only the business administrator or primary contact can determine the level of access for each user. Make sure all users have the right type of access (Full, Read only, None) to ensure each user has the appropriate access to your organization’s information.

I already have a personal myID account to access City services. Why can’t I use that account to access FIMS?

​Your personal myID account can only be used to access personal services, like recreation, not services for organizations such as FIMS. If the organization you are with does not have a myID account, you’ll need to create a myID business account by visiting myid.calgary.ca using your business ID number and registered email address. Once you have registered, an activation code and link will be emailed to the registered business primary email address. If the organization you are with does have a myID account, contact the myID Business Administrator within the organization to open an account for yourself.

I changed my name, the prefix for my name (i.e. Ms to Mrs.) or my email address. How do I change it in FIMS and myID?

To change your prefix (Ms. To Mrs.), log in FIMS, go to my profile and selected a suggested prefix from the drop-down list or enter in your prefix.

To change your name and email, log in FIMS, go to myID and update your profile. It may take up to two hours for the update to be reflected in your profile.

How do I change my login userid?

​Renaming the log in userid is not available at this time.

How do you link myID to a user in FIMS?

MyID and FIMS are linked via the email address used when setting up users in FIMS and myID at the same time.

If the Business Administrator adds the user as a contact in FIMS and then adds the user in myID, when the user logs into myID or FIMS, they will have the access as assigned by the Business Administrator. Note: the same user email address must be used when adding the user to FIMS and myID at the same time.

How does a user become a Business Administrator?

​To become a Business Administrator, the user would log into FIMS and go to myID, and use the Promote link in Account Settings. An activation code will then be sent to the registered business primary contact email of the organization. The registered business primary contact should then forward the code to the user if the request is legitimate.

Can an organization have more than one Business Administrator?

​Yes, an organization may have multiple Business Administrators. The user would become a Business Administrator in myID which will automatically change the user a Business Administrator in FIMS.

How does an organization remove a user from myID and FIMS?

A Business User and Administrator user can log in myID deactivate their own account.

The Business Administrators can also close any other user accounts in myID.

Currently, the contact cannot be deleted from FIMS.

How does a Business Administrator become a user?

​For a Business Administrator to become a Business User, the Business Administrator would log into FIMS and go to myID, and use the Demote link in Account Settings.

It may take up to two hours for the update to be reflected in your profile.

I forgot my myID/FIMS username and/or password, how do I get it reset?

​When you go to log into FIMS, select Forgot your Username or Forgot your password and follow the directions. If these steps do not assist in resetting your password, contact 311 to request additional support.

When I log into FIMS, I see a blank screen.

The Business Administrator for your organization needs to log into FIMS and provide you access.


Managing Files

We have provided documents to The City previously, are the documents in FIMS now?

​The documents are not in FIMS and will need to be uploaded by the organization once prompted by The City.

How do I save a file and upload it in FIMS?

Any user with full access may upload documents in FIMS. Select Documents from the side menu. Users with read access are able to open and view all documents.

What if our organization would like to submit a joint application with another organization?

​The application would be submitted by the organization that will be responsible for receiving payment, year end and audit reporting requirements.
