Access to information requests
Under the Access to Information Act (ATIA), any individual has a right of access to any record in the custody or under the control of a public body, including a record containing personal information about that individual, subject to limited and specific exceptions set out in the legislation. This request for information is called an access to information request or access request.
Submitting an access request
You can submit an access request for general information or your own personal information.
- A general access request is a request for recorded information in the custody or control of The City that is not about yourself or someone you are authorized to act for.
Examples of general access requests include requests for environmental reports, information about City projects and initiatives, 311 service requests, bylaw complaints about a municipal address, City Auditor reports or reports to Council that are not on calgary.ca. - A personal access request is a request for recorded information in the custody or control of The City that is about yourself or a person you are authorized to act for.
Examples of personal access requests include requests for Human Resources records, including complaints and investigation reports, dog bite files in which you are the victim, or camera footage of an accident you were directly involved in.
When submitting a personal access request, you will be required to provide photo identification or other documentation to confirm you are entitled to the information you are requesting.
Once you have determined the type of information you are requesting, you can submit your request through our online intake portal or by completing our PDF form:
Please be specific in your request and provide as much detail as possible, including:
- The specific records you want access to.
- The City business units and/or departments that you believe will have responsive records.
- The specific time period for the records you are requesting.
Important:
On June 11, 2025, the Access to Information Act (ATIA) came into force and officially replaced the Freedom of Information and Protection of Privacy Act (FOIP Act). All access to information requests (access requests) received on or after June 12, 2025, will be processed in accordance with the ATIA.
Costs associated with access requests
- General access request: There is a fee of $25.00 to begin a general access request. Additional fees may apply for services such as searching for a large volume of records, converting, or reformatting records. Before any extra charges are incurred, you will receive a fee estimate. If a fee estimate is issued, the Access and Privacy team can work with you to revise your request to help reduce or eliminate additional fees.
- Personal access request: There is no fee to begin with a personal access request. Additional fees for producing a copy of the record if the fees are estimated to exceed $10.

If you are unable to submit your access request through The City’s Access to Information and Corporate Privacy Intake Portal, you can download the Request to Access Information (PDF) form. Alternately, you can call the Access and Privacy office at (403) 268-5861 (option 2) or email us at AccessandPrivacy@calgary.ca to discuss options for submitting your access request.
Note: The Access and Privacy office is the only City office authorized to receive access requests under the Access to Information Act. Access requests sent to other City offices will not be processed until they are received by the Access and Privacy office.
